The School Operations Coordinator at Princeton Friends School plays a central role in the daily life of the school. As the first point of contact for families and visitors at our front desk, a person students interact with daily, and a central part of the administrative team, this person helps create a warm, welcoming environment while also ensuring that the school day runs smoothly behind the scenes.

This role is ideal for someone who is incredibly detail-oriented, enjoys juggling multiple responsibilities, and takes pride in helping a small school community stay connected, informed, and supported.

 

What You’ll Do 

This full-time (10- or 12-month) position blends leadership with administrative support. Our School Operations Coordinator will: 

Front Desk & Community Engagement

  • Serve as the welcoming presence at the front desk, greeting families, students, and visitors
  • Assist teachers, staff, caregivers, and students with day-to-day questions or needs 
  • Help ensure the school environment remains welcoming, inclusive, and responsive to the needs of students and families
  • Support a smooth and responsive school day by assisting with student needs as they arise
  • Collaborate closely with colleagues to support a joyful, inclusive, and well-organized school community

Communication, Scheduling, & Events

  • Manage the flow of schoolwide communication, including phone calls, emails, and visitor coordination
  • Support basic office and school operations 
  • Lead the creation and management of the school-wide calendar, with a broad understanding of events and communication systems
  • Coordinate logistics for school events, meetings, and community gatherings
  • Support the scheduling logistics for family/faculty conferences in fall and spring

Operations & Administrative Support

  • Support student attendance tracking and daily administrative tasks
  • Maintain organized records and systems that support efficient school operations
  • Manage and maintain schedules (whole school, room use, and teacher coverage)
  • Support securing substitute teacher coverages as needed
  • Support faculty and administrators with scheduling, supply ordering, and day-to-day operational needs
  • Sort and distribute mail and deliveries in a timely fashion
  • Manage and maintain office equipment, including photocopiers
  • Pitch in wherever needed to support the smooth functioning of the school day

Health, Safety & Emergency Preparedness

  • Serve as a member of the Safety Team
  • Assist with safety planning, procedures, and drills; record drills per protocols
  • Monitor emergency communications, weather alerts, and update school messaging as needed
  • Compile and distribute emergency information and calling lists for faculty and staff
  • Maintain current first aid, AED, and CPR certifications
  • Help maintain the cleanliness and safety of campus/buildings 
  • Maintain awareness of student health and allergy concerns and respond appropriately
  • Come to the aid of an injured child as needed

  • Enthusiasm for working in a small school where teamwork and adaptability are essential
  • Experience in a Quaker school or a willingness to learn about and embrace Quaker values and practices in a school setting

 

Physical requirements

  • Sit, stand, bend, walk, talk, hear, operate office and medical equipment
  • Move actively around classrooms and outdoor campus
  • Lift up to 25 pounds

 

Schedule & Compensation 

The School Operations Coordinator role is a full-time position that is available as either a 10-month or 12-month role; compensation and benefits will align according to the selected term. Salary range: $40,000-$60,000, commensurate with experience.
